Here is the math: salary times the employer cost multiplier 1.2 divided by 173 hours a month gives the hourly rate. That rate times the hours in a year gives the cost of the process. From the recovery we take a band of 40% to 70%, because part of the time recovered on paper comes back as supervising the automation and handling exceptions. This is a deliberately conservative range, not a promise.

You name the people and give the ranges

You upload the list of participants and fill out a short briefing: salary ranges per level, your employment cost multiplier, and how many hours a week you think the process takes. This data is what the final number is built from.

Employees talk, each on their own

The conversation takes 20 to 30 minutes and happens asynchronously, so nobody blocks a whole department's calendar. The section about tools can be done fully anonymously, because people talk differently about what doesn't work when they know their name won't be attached.

We cross-reference answers across departments

The same task described by three people with three different durations is information in its own right. We score every statement on specificity, completeness, time-anchoring, exceptions to the rule, and evidence.

A consultant reviews and approves

No report goes out automatically. A human goes through the results before you see them.

Contrast with the classic approach: A standard discovery is a series of workshops where twenty people sit in a room for three days, and the outcome depends on who spoke the loudest. It costs a multiple of this price, blocks calendars, and ends in a transcript that someone still has to turn into numbers.

How we calculate the savings

We show the whole formula, because a number without a method is just an opinion with a decimal point.

Step by step

  1. We take the average of your salary range for that level.
  2. We multiply it by the employment cost multiplier you provide, because contributions and benefits differ between companies.
  3. We divide by the number of hours in a month for a standard full-time role. That gives the real cost per hour of work.
  4. We multiply by the number of hours the process takes over a year, counting 52 weeks.
  5. From that amount, we only take the share that can actually be taken over by automation.
  6. We report the result as a range from 40% to 70% of that share.

Why the last step: Because time recovered on paper is never recovered in full. Someone has to watch the automation, handle exceptions, and fix what doesn't work. Reporting the full amount as savings would be an overstatement, and the first quarter after implementation would expose it.

Confidence scale

We score every statement from a session across five dimensions: specificity (30 points), completeness (25), time-anchoring (20), exceptions to the rule (15), evidence (10). A process described consistently by three people with concrete numbers carries more weight in the report than one described vaguely by a single person.

Choose a scope

You choose the scope by the number of departments and people we need to talk to. The method and the documents are the same across every variant.

Standard is the right choice for most companies with 20 to 200 people, because four departments are usually enough to catch processes that cross department lines — that's where most of the lost hours sit. Implementation prioritization (Standard, Immersion) is a ready-made order you hand to a provider instead of deciding for yourself where to start. The board workshop (Immersion only) turns the document into a decision made in the room, not in an email someone reads two weeks later.

The audit is a cost. Check when it pays back.

Standard costs PLN 9,900. If the sessions show you can recover PLN 20,000 a year, the audit itself pays back in the sixth month, counting from implementing the first recommendation. If they show PLN 60,000, it pays back in the second.

Being honest about the other side: If the sessions show there's nothing worth automating at your company, you'll get that in writing. That's also a result worth its price, because it saves you from spending a hundred times this amount on an implementation that made no sense. It doesn't happen often, but it happens.

What's on your side

A light lift: a list of emails, payroll data and a variant decision. Discovery does the rest.

  • Participant list. Names and email addresses, uploaded as a CSV file or entered by hand. We support headers in Polish and English, auto-detect the separator, and remove duplicates.
  • Manager briefing. Salary ranges per level, an employment cost multiplier, an hours estimate, and the percentage of time you think can be recovered. A dozen or so minutes to fill in.
  • Consent for the conversations with employees. Letting your team know the sessions are happening and why.

What we don't need: access to your systems, database exports, integrations, or process documentation. If you have written procedures, great, but their absence doesn't block anything. Usually that absence is part of the problem.

What's attributed, what's anonymous

The "Processes" session goes into the report attributed to a person/department. The "Tools" session is fully anonymous.

We delete session data or strip its link to the person after 180 days. We don't build anything for ourselves on it, and we don't use it beyond your report.

Questions, before you ask them

Three tiers: PLN 4,900 for one or two departments and up to 10 participants, PLN 9,900 for up to four departments and 25 participants, PLN 19,900 for the whole organisation and up to 60 participants. Turnaround is 5, 10 and 15 business days respectively.

Each participant spends 20 to 30 minutes on a conversation they take whenever it suits them. There are no workshops blocking calendars and no need to gather everyone in one room. On your side, add a dozen or so minutes for the briefing.
