Here is the math: salary times the employer cost multiplier 1.2 divided by 173 hours a month gives the hourly rate. That rate times the hours in a year gives the cost of the process. From the recovery we take a band of 40% to 70%, because part of the time recovered on paper comes back as supervising the automation and handling exceptions. This is a deliberately conservative range, not a promise.
Where the hours go
Copying data from a form into the CRM is the smallest part. On top of that comes checking whether the contact already exists in the database, adding the campaign source, assigning a sales rep according to a rule everyone knows but nobody has written down, and sending the first message. At twenty enquiries a day that adds up to several hours a week, scattered so thinly that they never show up in any report.
The real cost lies elsewhere, though. An enquiry that waits until the next day has a noticeably lower chance of a reply than one that got an answer within a quarter of an hour. Retyping leads by hand is a delay built into the process, not a one-off slip.
What automation does
Every source of enquiries, whether a form, a campaign, the inbox or a chat, reaches the CRM by the same route and in the same format. A duplicate is recognised by email address or phone number and added to the existing contact instead of creating a second record. The campaign source travels with the lead, so reporting on ad performance stops being a separate manual job.
The sales rep is assigned according to a rule written down once: by region, by enquiry value, in rotation or by availability. Straight after that, a confirmation goes to the customer and a notification to the right person on the team. The sales rep starts with a conversation, not with data entry.
What it costs and when it pays back
This is the cheapest process on the list: implementation usually falls between 1,500 and 5,000 PLN, starting at the very bottom of the platform's range for API integrations. The reason is simple. Forms, ad platforms and CRMs have well-documented interfaces, so there is little work involved, and most of the time goes into agreeing the assignment rules and how duplicates are detected.
We calculate payback in the third to sixth month from recovered hours alone. We do not include extra sales from faster contact, because we could not estimate that honestly for your company.

Automation does not change the legal basis or the scope of the data. It moves the same data faster and with fewer copies, which actually makes compliance easier. Consents collected in the form have to be passed along with the lead so that the CRM knows what the person has agreed to.
