A client portal with self-service access to status and documents

Today a client calls or writes to find out what stage their job is at, and someone on the team answers that same question every time. The question is always much the same, and answering it means checking exactly what the client would like to see for themselves.

PLN 0 a year

Realistically you will recover from PLN 0 to PLN 0 a year

Here is the math: salary times the employer cost multiplier 1.2 divided by 173 hours a month gives the hourly rate. That rate times the hours in a year gives the cost of the process. From the recovery we take a band of 40% to 70%, because part of the time recovered on paper comes back as supervising the automation and handling exceptions. This is a deliberately conservative range, not a promise.

Where the hours go

Answering a status question means checking the data in an internal system, turning it into a sentence the client will understand, then sending it by email or phone. With a dozen or so active jobs at once, this question comes back every day, in different forms, from different people.

The cost that does not show up in anyone's schedule is the client's impression. A company that makes clients ask about status looks different from one where clients can see it themselves, at any time, without waiting for the team to reply.

What the app does

Clients log in to their own dashboard and see the status of their job, the history of your work together and documents to download, without having to ask. The data in the dashboard comes from the same system the team already uses, so there is no need to maintain two sources of truth.

The team gets fewer status questions and a single place to see all of a given client's jobs, instead of looking for them in several systems separately. A status update made by the team is visible to the client straight away.

What it costs and when it pays back

A client portal is a web app, not a simple automation, so implementation usually falls between 15,000 and 40,000 PLN, within the platform's web app range, which goes up to 50,000 PLN. The price depends on the number of dashboard features and how many internal systems it has to connect to.

Payback comes in the eighth to fourteenth month, later than for simpler automations, because the implementation cost is higher. The calculator counts only the team time saved on answering status questions, without including the effect on how the company looks in the client's eyes.

Frequently asked questions

Usually 15,000 to 40,000 PLN, within the platform's web app range of 8,000 to 50,000 PLN. The price depends on the number of dashboard features and the number of internal systems it has to connect to.

No. The company website is public and the same for every visitor, while a client portal requires a login and shows data specific to a particular account, such as job status or documents.

Security depends on correctly separating data between client accounts, which is a standard part of this kind of implementation, not an add-on. It is worth asking the contractor directly how they test that separation before launch.

Usually 40 to 200 hours, depending on the number of features, which means anywhere from a few weeks to a few months. A portal with just job status and documents sits nearer the bottom of that range, while a dashboard with extra features, such as messaging with the team, sits nearer the top.
