Automating the collection and screening of job applications

Applications for a single role currently arrive from several places at once: a job board, the form on your website, sometimes just an email. Before anyone reads the first CV, they all have to be found and gathered in one place.

Realistically you will recover from PLN 0 to PLN 0 a year

Here is the math: salary times the employer cost multiplier 1.2 divided by 173 hours a month gives the hourly rate. That rate times the hours in a year gives the cost of the process. From the recovery we take a band of 40% to 70%, because part of the time recovered on paper comes back as supervising the automation and handling exceptions. This is a deliberately conservative range, not a promise.

Where the hours go

Gathering applications from several sources into one place is work that has to be repeated in every recruitment round, no matter how many times it has been done before. A popular job ad can bring in a few dozen applications a week, some of which still have to be filtered out on basic criteria.

The cost that does not show up in anyone's schedule is candidates who never get a reply. No confirmation that an application arrived, or no word about a rejection, damages the company's reputation as an employer, even if the assessment itself is thorough.

What automation does

An application from any source goes onto a single list, and the candidate gets an automatic confirmation that it has arrived. Basic criteria from the job ad, such as required experience or knowledge of a particular tool, can be checked automatically at the pre-screening stage.

The recruiter gets a list sorted by fit instead of reading applications in random order. Candidates rejected at an early stage get feedback without waiting for someone to think of it.

What it costs and when it pays back

Implementation usually falls between 2,500 and 8,000 PLN. The price depends on the number of application sources and how elaborate the initial sorting of candidates is.

Payback comes in the third to sixth month, calculated on the time of the person running the recruitment. Enter in the calculator how many hours a week currently go into just collecting and pre-screening applications.

Frequently asked questions

Usually 2,500 to 8,000 PLN as a one-off, within the platform's automation range of 2,000 to 20,000 PLN. More application sources and more elaborate screening criteria push the quote upwards.

No. The automation collects applications and checks the basic criteria from the job ad, while the final assessment and decision are always made by the recruiter, based on an interview and the full CV.

Most popular job boards offer a way to receive applications automatically, by email or through an API. It is worth agreeing the scope of the integration in the quote, because it differs from one job board to another.

That is set by the company's recruitment policy, not by the automation itself. A well-built process does, however, let you set a period after which a candidate's data is deleted automatically, in line with your data retention rules.
